Add New Membership From Paper Form
A brand new member has joined via the online order form shown in the Membership Store.
- Review the WooCommerce (WC) Order to confirm payment type,
- If paid by credit card, then proceed.
- If attempted to pay by credit card and failed, look for a retry. Wait a day or two and contact the customer to help.
- If paid by check or cash, verify receipt. Look here, or if not there, contact Workshop whomever appears to have accepted the payment.
- Edit the WC Order.
- Review the Order #### Details for completeness.
- Check the entry for “Customer:” There should be a WP User entry in the choice list. It could be misaligned depending upon how the order was added. The Workshop computer entry can align an order to an existing member by mistake.
- If necessary, manually add the new Customer to the WP User list and save it.
- In the WC Order, choose the new entry, You may have to click the Update button to refresh the choice list.
- If pointing to the expected new WP User, click the Profile -> link to edit the WP User record.
- Edit the new WP Users entry.
- Uncheck “Toolbar”.
- This is so that when a regular member is logged in they don’t see the WP Toolbar. We want them to use the Content Area menus and links.
- Guild Officers can have the Toolbar enabled.
- Verify the username is correctly formatted; e.g., Firstname.Lastname. No punctuation except the period. No Spaces.
- Set Other Role to “Active Member”.
- Set WP-Members Additional Fields.
- Copy Billing Address to Shipping Address.
- Update.
- Return to WP Users list. First row should be the new member you’re working on, Sort ID descending if not visible.
- The View name should be “Users”. The Newsletter column should be displayed. Adjust to make this so.
- If CONFIRMED is NOT showing for the new user, then
- Go to Newsletter Users Integration page. Scroll to the bottom, and run the “Link subscribers with users by email” button.
- GO back to the WP Users list and refresh the view, Verify CONFIRMED is showing.
- Click the CONFIRMED entry and set the gender as appropriate. Save the result.
- Activate the WP Users new member account.
- In the WP Users list, hover on the new member’s row to reveal the action menu in the first column and click Activate.
- Go back to the WC Orders list, click the (eyebrow) button. Mark the order Completed.
- Go to the email logger, and check to ensure the Order Completed and Membership emails have been sent.
- From the Membership Email Account in a dedicated email client, send a confirmation email using the message text below.
- Uncheck “Toolbar”.

Welcome to our Guild. You should have just received two other emails from the system. One was a simple message to confirm the membership order completion. The second was more extensive. It provided you your online website username and a link to set your password. It also had a lot of useful information about our guild and provided links to more information on our website.
Please reply to this message to let me know you received it. This way I know your email system did not block our messages.
